WEB Service s.r.l, as the Data Controller of personal data, based in Govone,Via Piana No. 5, hereby wishes to provide adequate information to individuals who also act in the name and on behalf of suppliers, customers, partners and other persons involved in contractual, pre-contractual activities or as users of services provided in accordance with Articles 13 and 14 GDPR 2016/679 – “European Regulation on the Protection of Personal Data”.
1. Data subject to processing
The personal data processed are personal and contact data provided or received by the data subject during:
visits or phone calls or emails;
direct contacts obtained as a result of participation in events, etc.;;
requests for commercial information, proposition of offers;
requests via our websites or via the websites of suppliers, customers, partners, other parties;
transmissions and transactions following orders for the provision of services or goods (supplied/purchased);
3. Legal basis
Processing for the performance of a contract to which each party is a party or for the performance of pre-contractual or post-contractual measures taken at the request of the supplier, customer, partner, other parties or WEB Service s.r.l., pursuant to Art. 6.1(b) of the GDPR, is necessary for the fulfillment of a legal obligation pursuant to Art. 6.1(c) of the GDPR.
4. Method of processing.
The data of the interested parties will be processed in accordance with the principles of lawfulness correctness and transparency, using manual or automated tools, including through the inclusion in databases, lists and lists suitable for the storage, management and transmission of data, in the manner and to the extent necessary to achieve the above purposes.
WEB Service s.r.l. has provided adequate security measures in order to protect the data of individuals acting on behalf of suppliers, customers, partners and others, for example: firewall, antivirus, virtual machine, encrypted back up.
Data will be processed only by authorized persons within WEB Service s.r.l., in relation to the purpose of processing.
2. Purposes of processing.
Personal data of individuals acting for and on behalf of including suppliers, customers, partners and others are processed to:
formulate requests or process requests received;
personnel search and selection activities;
marketing/commercial activities;
exchanging information aimed at the execution of the contractual relationship, including both pre- and post-contractual activities, including assistance and support activities;
execution of obligations under laws, regulations or EU legislation, as well as to comply with measures issued by public authorities empowered to do so or by supervisory and control bodies to which WEB Service s.r.l. is subject (e.g., think of tax assessments, etc.);
for ancillary purposes, e.g. “News Alerts” via email or text message. In reference, for example, to cases of communications for data breach events. The data subject may refuse to provide the Data Controller with his/her personal data. However, the provision of personal data is necessary for the proper and efficient management of the contractual relationship with suppliers, customers, partners and other parties involved in the activities of the Data Controller (such as, for example, the provision of services, recruitment or sale of goods). Therefore, any refusal to provide it may jeopardize all or part of the contractual relationship itself or the pre- and post-contractual activities.
5. Recipients of the data
The personal data processed by the Data Controller will not be disseminated, i.e. they will not be made known to unspecified parties, in any possible form, including making them available or simple consultation. They may, however, be communicated to the Owner’s workers and some external subjects who collaborate with them, always in compliance with the indicated purposes. In particular, these are employees/collaborators/external suppliers who, on the basis of the roles and work duties performed, have been legitimized to process personal data, trained to do so within the limits of their competences and in accordance with the instructions given to them by the Controller. They may, in addition, be communicated, to the extent strictly necessary, to the subjects who for the purpose of issuing orders, requests for information and estimates or the formulation of offers, services, must provide goods and/or perform on behalf of the Owner performance or services. The data may be accessed (for the purpose of assistance on SW applications, computer networks and for connectivity) by our appointed technicians or external consultants or appointees of companies that provide such services. Finally, they may be communicated to the subjects entitled to access them by virtue of provisions of the law, regulations, and community standards. 6. Transfer of data
The Data Controller does not transfer personal data to Third Countries or to international organizations: personal data are stored on servers located within the European Union.
Should it become necessary, the Controller will be entitled to move personal data outside the EU as well. In this case, the Controller assures, as of now, that the transfer of data outside the EU will take place in accordance with the applicable legal provisions, subject to the stipulation of the standard contractual clauses provided by the European Commission.
7. Data Retention.
The Data Controller will retain and process personal data for the time necessary to fulfill the stated purposes. Thereafter, personal data will be retained, as documented in our Record of Processing. The retention period may vary significantly depending on: purposes, type of data processed, legal obligations.
When it is no longer necessary to retain personal data, it may be deleted or de-indexed or securely destroyed in accordance with our policy.
8. Rights of the data subject
Pursuant to Articles 15 to 22 of the Regulations, you may exercise the following rights:
request confirmation of the existence or otherwise of your personal data;
obtain information about the purposes of the processing, the categories of personal data, the recipients or categories of recipients to whom the personal data have been or will be communicated and, when possible, the storage period
obtain rectification and/or erasure of data;
obtain restriction of processing;
(where applicable) obtain portability of data, i.e., receive them from the Data Controller, in a structured, commonly used and machine-readable format, and transmit them to another data controller without hindrance;
